Rules On Samples — Xinflooring

1、Standing Samples:

Generally speaking, we always have some standing samples prepared in our stock, which could be sent to customers whenever necessary. The samples include WPC floor, LVT floor and SPC floor. But the colors, patterns, size, thickness and wear-layer thickness are all fixed. Customers can only choose from them. Normally, standing samples are required by customers only to confirm our quality or colors, patterns, thickness etc. 

2、Photographed samples:

It is possible that our standing samples can’t meet customer’s requirement. In that case, we will need customer to take some photos of their samples for us to check the colors and patterns. The photos should be clear enough with natural light. We will find the similar or same samples from our showroom or stock according to customer’s photos. After we find the similar or same samples, we will take photos and send pictures to customer at first. Once customer accepts our pictures, we will send the real samples to them. But, here we would like to emphasis one point that the samples we send to customer is only for confirming the colors and patterns. For example, the customer need WPC with such a color, but we may send SPC with such a color to customer also. Because all colors can be used on LVT, WPC and SPC floor. 

3、Customized Samples:

If above two kinds of samples both can’t be accepted by customers, we can provide customized samples as well. Customers should send their real samples to us at first. We will compare the colors and patterns, then choose a same or most similar film to make samples. Finally, send to customers. This is the best way to meet customer’s requirement, but also need longer time. Usually, we will spent 7-15 days to make samples, because our production line is always busy in orders. If making samples, they will need to adjust the machines and material formula. 

4、EIR (Embossed In Register) Samples:

We have standing EIR samples, especially WPC floor. If customers need floors with EIR pattern, they can choose from our standing EIR samples. If customers need their specially customized EIR samples, then we will need to use customized steel plate mould accordingly. It will cost USD20000 to USD25000 for customizing the steel plate mould.

5、Samples Cost:

Under normal conditions, according to our company rule, we will provide free standing samples to customers. But the principle is that each color and each specification cannot exceed 6 whole pieces. And for customized samples, each color and specification cannot exceed 2 whole pieces. If customers required samples more than our ruled quantity, we will charge corresponding amount of samples cost. If customers order from us based on 1*20GP or more in the future, we will subtract the samples cost from their payment. This means our samples are totally free. (Note: the base is order the same color with samples we sent before. )

6、Samples Courier Fee

As above mentioned, we will provide free samples to customers. But at the same time, the relative courier fee will be paid by customers as well. Normally, we can use DHL, UPS, FEDEX, EMS and TNT to send samples to customers. And customers can do courier fee collect, or transfer the charges to our bank account, or through Western Union, Paypal, Cash etc. Once customers order from us based on 1*20GP or more in the future, we will subtract the courier cost from their payment. (Note: The base is order the same color with samples we sent before.) If customers choose courier fee collect, we will need their relative express account number, company name, zip code, address and any other information needed by express. 

7、Why we insist on charging for samples and courier fee?

Actually, many customers have asked us about this question. Here is our explanation:

Firstly, the most important reason is that we face the customers from all around the world. PVC floors belong to heavy products. We have counted that each courier fee is around USD100 to USD500 on average. If we send samples 2 to 3 packages for each working day, we will send 60 to 90 packages each month. If we bear both the samples cost and express cost, that will be a large cost. We think there is no one professional factory will bear all the cost. Certainly, we cannot debar some small factory will not charge for samples or freight which have less customers and less samples need to be sent by express.

Secondly, in order to show the mutual sincerity between our customers and us, we will try our best to satisfy customers’ samples requirement. For more sincere cooperation, we need the customers to pay the sample freight and we will treasure each other' s sincerity and efforts.

Thirdly, charges is for better free and better service. Once customers order from us based on 1*20GP, we will subtract relative samples and courier cost. If the customers pay one good faith, we will return ten sincerity and do everything possible to serve our customers well.
